What is MailStore Server
MailStore Server is an on-premises email archiving and backup application for organizations that need to centrally store and search email from multiple mail systems. It supports archiving from Microsoft Exchange, Microsoft 365, Google Workspace (via IMAP), and other IMAP/POP3 sources, with access through an admin console and end-user search interfaces. Typical use cases include long-term retention, eDiscovery-style search, mailbox migration support, and recovery of deleted or lost messages. The product is deployed on Windows Server and stores archived messages in a dedicated archive store with indexing for fast retrieval.
Broad mail system coverage
MailStore Server archives from common enterprise and SMB mail platforms, including Exchange and Microsoft 365, as well as generic IMAP/POP3 mailboxes. This makes it usable in mixed environments and during migrations between providers. It also supports journaling-based capture for Exchange scenarios, which helps collect messages beyond individual mailbox pulls.
Strong search and retrieval
The product maintains an index of archived messages to support fast full-text search across large volumes of email. End users can access their own archives (subject to permissions) to locate and restore messages without IT handling every request. Admins can export or restore messages to mailboxes or standard formats, which supports recovery and audit workflows.
On-premises retention control
Because it runs on customer-managed Windows infrastructure, organizations can keep email data on-premises to meet internal policies or regulatory requirements. Windows Server dependency

Not a full backup suite
While it covers email archiving and recovery well, it does not replace broader endpoint, server image, or multi-application backup platforms. Organizations typically need separate tooling for non-email data sources and disaster recovery orchestration. This can lead to multiple products to cover enterprise-wide backup requirements.
Cloud source nuances
For cloud mailboxes, capabilities and performance depend on the available protocols and APIs (for example, IMAP vs. provider-specific APIs). Some advanced cloud governance features—such as granular SaaS policy controls or integrated security layers—may require additional products. Large-scale cloud tenant archiving can also require careful throttling and scheduling to stay within provider limits.
