What is Microsoft Access
Microsoft Access is a desktop relational database application included with certain Microsoft 365 and Office editions. It is used to build and run small-to-mid-sized databases with forms, queries, reports, and automation for departmental or individual workflows. Access stores data in an .accdb file and can also connect to external data sources (for example, SQL Server, Excel, and ODBC data sources) for reporting or as a front end. It is commonly used by business users and analysts who need rapid database application development without deploying a separate server stack.
Rapid forms and reports
Access provides built-in designers for tables, queries, forms, and reports that support quick creation of data-entry and reporting applications. Wizards and templates reduce the amount of code required for common CRUD workflows. This makes it practical for departmental solutions where a full application development lifecycle is not available.
Tight Microsoft ecosystem integration
Access integrates with Office tools such as Excel, Outlook, and Word for import/export, mail merge, and reporting workflows. It supports VBA and macros for automation and can use familiar SQL-like query constructs. For organizations standardized on Microsoft 365, this can simplify distribution and user training compared with adopting a separate platform.
Flexible connectivity to external data
Access can link to or import from external databases and files using ODBC/OLE DB connectors. It is often used as a front end to server databases (for example, SQL Server) while keeping forms and reports in Access. This split approach can extend the life of Access applications while moving data storage to a more scalable backend.
Limited scalability and concurrency
The Access database engine is file-based, which can become a bottleneck as data volume and simultaneous users increase. Multi-user scenarios can require careful design (record locking, network reliability, split databases) and still may not meet higher concurrency needs. For larger workloads, teams typically migrate the data layer to a server database and keep Access only as a client.
Windows desktop dependency
Access is primarily a Windows desktop application and is not a browser-native database app builder. This can limit use in mixed OS environments and for users who need web or mobile-first access without remote desktop solutions. Deployment and version management can also be more complex than centralized, web-delivered platforms.
Governance and lifecycle challenges
Access applications are frequently built by individuals or small teams, which can lead to inconsistent data models, limited documentation, and fragile VBA dependencies. Source control, automated testing, and CI/CD practices are possible but not as straightforward as in modern application stacks. Organizations often need additional governance to avoid unmanaged “shadow IT” databases.
