What is Continia Expense Management

Continia Expense Management is an expense capture and approval solution designed to automate employee expense reporting, receipt handling, and reimbursement workflows. It is primarily used by organizations running Microsoft Dynamics 365 Business Central (and related Dynamics NAV environments) that want expenses posted into their finance system with controlled approval processes. The product supports mobile receipt capture, policy checks, and mileage claims, with accounting integration as a core design point. It is typically deployed through Dynamics partners and configured to match an organization’s chart of accounts and approval rules.

pros

Deep Business Central integration

The solution is built to work closely with Microsoft Dynamics 365 Business Central/NAV, enabling expenses to flow into the general ledger with mapped dimensions and accounts. This reduces duplicate entry compared with setups that rely on file exports or generic connectors. Finance teams can keep approvals and posting aligned with existing Business Central controls. It fits organizations that want expense processing to be an extension of their ERP finance processes.

Mobile receipt capture workflow

Employees can capture receipts on mobile and submit expense lines for approval, reducing reliance on paper or manual scanning. The workflow supports manager review and finance validation before posting, which helps standardize processing. Receipt handling and audit trail are designed around expense documentation requirements. This is useful for distributed teams that submit expenses frequently.

Mileage and per-diem support

The product supports mileage claims and common travel expense scenarios, including configurable rates and rules. This helps organizations apply consistent reimbursement calculations across employees and trips. It also reduces manual calculations and spreadsheet-based mileage logs. These capabilities are relevant for field-based roles and frequent travelers.

cons

Best fit for Dynamics users

Organizations not using Microsoft Dynamics 365 Business Central/NAV may find the product less suitable than tools designed to integrate broadly across many accounting platforms. Implementation and ongoing administration typically assume Dynamics knowledge and partner involvement. If the finance system is not Business Central, integration may require additional work or may not be available in the same depth. This can limit adoption in heterogeneous ERP environments.

Less emphasis on spend controls

Compared with platforms that combine expenses with corporate cards, real-time spend controls, and broader procurement workflows, this product is more centered on expense reporting and posting. Companies seeking unified card issuance, vendor payments, and end-to-end spend management may need additional systems. As a result, some spend governance use cases can sit outside the expense module. Fit depends on whether the organization prioritizes expense reimbursement versus broader spend orchestration.

Partner-led deployment complexity

Deployment is commonly handled through Dynamics resellers/implementation partners, which can add variability in rollout time and cost. Configuration often involves mapping to accounts, dimensions, VAT/tax handling, and approval hierarchies. Smaller teams may find the setup heavier than lightweight, self-serve expense apps. Ongoing changes (policies, dimensions, org structure) may require admin expertise to keep postings consistent.

Minimum invoice / settlement rules (from official price sheet):

  • There is a minimum invoice level of four Named Expense Users or two Active Expense Users.
  • Continia will automatically invoice the cheapest settlement for each calendar month (either Named or Active Expense Users) — and will invoice based on Active Expense Users if that is cheaper (automatic monthly optimisation).

Example costs:

  • Minimum invoice (Essential module only): 4 Named users × $6.75 = $27.00/month (or 2 Active users × $13.50 = $27.00/month).
  • Example small team (10 Named users, Essential only): 10 × $6.75 = $67.50/month.
  • Example add-on (10 Named users + Mileage module): Essential 10 × $6.75 = $67.50 + Mileage 10 × $1.50 = $15.00 → $82.50/month.

Discount / volume options:

  • Unit price falls by tier as the number of users increases (see tables above).
  • Automatic switch/invoicing to Active Expense Users when >50% of Named users are inactive in a calendar month — billed at active-user rates if cheaper.

Notes & caveats (official):

  • Prices are recommended and exclude VAT/Tax and any delivery costs.
  • Prices are subject to change; the official USD price sheet is marked "Valid January 2026."
  • Final subscription activation and invoicing are handled via Microsoft AppSource and confirmed with your Continia Partner.
